This Privacy Policy explains how Coach Hayward ("we", "us" or "I") collects, uses and looks after your personal information when you visit www.coachhayward.co.uk, fill in a form, join the community, or work with us as a client.

Coach Hayward is a health and fitness coaching business. We help people understand their health through education, lifestyle guidance, functional blood work and related support. We take your privacy seriously, especially because some of the information you share with us is about your health.

Who is responsible for your information

Coach Hayward is the data controller for the information you provide. That means we decide how and why your personal information is used.

Our business operates from Meydan Grandstand, 6th floor, Meydan Road, Nad Al Sheba, Dubai, United Arab Emirates. We work with clients in the UK and around the world, and we're a fully online business. This policy is written to respect the data protection laws that apply to you, wherever you live.

What information we collect

Depending on how you interact with us, we may collect:

Your name and email address when you fill in a form or request the free video

Health and lifestyle information you choose to share, for example your symptoms, how you're feeling, what you're struggling with, intake or screening answers, and anything you tell us during coaching

Booking details when you book a call or assessment

Payment details when you buy a package or membership (handled by our payment provider, see below)

Anything you send us by message, email or in the community

Information collected automatically

Device and usage information such as your IP address, browser type, time zone, and how you move through our website

This is collected using cookies and similar technologies like pixels and tags

Health information

Some of what you share with us is health information. Under data protection laws like the GDPR this is treated as "special category" data and gets extra protection, and we treat it that way for everyone regardless of where you live.

We only collect health information that you choose to give us, and we use it solely to understand your situation and support you. We process it on the basis of your explicit consent, which you give when you submit a form or share details with us. You can withdraw that consent at any time by contacting us, and we'll stop using that information and delete it on request.

We never sell your health information, and we never share it for advertising.

This is educational health and lifestyle coaching, not medical advice or a medical service. Nothing we provide replaces care from your doctor or a qualified medical professional.

Send you follow-up emails, updates and newsletters where you've agreed to receive them

Deliver our coaching, memberships and assessments, and support you through them

Take payment for packages and memberships

Respond to your questions and provide support

Performance of a contract, when you've signed up to coaching or a membership

Marketing and your choices

If you've given us your email and agreed to hear from us, we may send you the free video, follow-up emails, useful content and offers.

You can unsubscribe at any time using the link at the bottom of any marketing email, or by emailing us. Once you unsubscribe we'll stop sending marketing, though we may still need to contact you about something you've actively signed up for, like an active coaching package.

Cookies and advertising

Our website uses cookies and similar technologies to function properly, understand usage, and measure our advertising.

We use the Meta (Facebook and Instagram) pixel to see how our adverts perform and to reach people who may be interested in what we do. This involves sharing limited information about your interaction with our site with Meta.

You can control cookies through your browser settings. You can also turn off personalised ad tracking inside your Facebook and Instagram settings, and through industry opt-out tools like youradchoices.com.

Who we share your information with

We don't sell your personal information. We do share it with trusted service providers who help us run the business, and only so they can do that job. These currently include:

Fit Pro University, whose coaching CRM platform (built on GoHighLevel) stores your details and runs our forms, emails and bookings

Stripe, which processes payments securely

Meta (Facebook and Instagram), for advertising measurement and automated messages

Google, including Google Drive where we store and share working files within our team, and YouTube which hosts the free video

Skool, which hosts our community

ManyChat, which handles automated Instagram messages

Information may also be accessed by people who help us run the business, including team members and the occasional trusted business mentor or advisor who supports how we operate. Anyone in this position is expected to keep your information confidential and only use it to help us run and improve our service.

We may also share information where the law requires it, for example to comply with a legal request, or to protect our rights.

Use of AI tools

We use trusted AI tools, including Claude and ChatGPT, to help us prepare content, summarise information, draft communications and support our day-to-day work.

Where we use them, we're careful about what personal information is shared, we don't use them to make automated decisions about you, and we don't use them as a substitute for the human judgement and care that sits behind our coaching. We don't share your health information with AI tools for advertising or for any automated decision that affects you.

International transfers

Because we operate from the United Arab Emirates and use service providers based in places including the United States and Europe, your information may be stored and processed outside the country you live in. Wherever we transfer information, we take steps to make sure it's protected to a standard consistent with the data protection laws that apply.

How long we keep your information

We keep your information only for as long as we need it for the purposes set out here, or for as long as the law requires.

If you're a lead who never becomes a client, we keep your details while you're on our email list and remove them if you unsubscribe or ask us to. If you're a client, we keep relevant records for the duration of our work together and for a reasonable period afterwards. You can ask us to delete your information at any time, as set out below.

How we protect your information

We use appropriate measures to keep your information secure, and we work with providers like our CRM and payment processor who maintain their own security standards. No system can be completely secure, but we take reasonable care to protect what you share with us.

Your rights

Depending on where you live, you may have the right to:

Ask what information we hold about you and get a copy

Have inaccurate information corrected

Ask us to delete your information

Ask us to restrict or stop using your information

Object to certain uses of your information

Ask us to transfer your information to another service

Withdraw consent at any time, where we rely on it

Complaints

If you're not happy with how we've handled your information, you can complain to the data protection authority where you live. In the UK, for example, that's the Information Commissioner's Office (ICO) at www.ico.org.uk. We'd always rather you came to us first so we can put things right.

Children

This website and our services are intended for people aged 18 and over. We don't knowingly collect information from anyone under 18. If you believe a child has given us their information, contact us and we'll delete it.

Changes to this policy

We may update this policy from time to time to reflect changes in how we work or in the law. When we do, we'll update the date at the top.
